Create out-of-flow call tasks, in bulk, for prospects already in a flow

Hi all, first day using Gong. I’m an SDR using Engage.

I want to dial prospects on Fridays, regardless of their step in a flow.

Is there any way to create ancillary call tasks in bulk, for prospects that are already in a flow?

I thought of a workaround with a ruleset to make a non-exclusive dials-only flow I could enroll them in concurrently. But it’s too late, the original flow is set anyway, and I seem to lack the authority to create rulesets.

Do I really have to go into each prospect record individually, just to create these tasks? Or should I just save time zone delineation by state in a contact view, and hammer down the column to dial them?

It would be so much better to just be able to bulk-create tasks and THEN sort by TZ.

you’re not missing anything – today Gong doesn’t let reps bulk-create extra call tasks for people who are already in flows. Those tasks have to come from flows or be created one by one.

Given that:

What you can do right now

Option 1 – Work from To-dos (easiest “Friday call block”)

  1. Go to Engage > To-dos.
  2. Filter to Type = Call and Due date = Today/Overdue.
  3. Add Prospect local time (or state/region) as a column and sort so you’re calling in the right time zones.
  4. Select a bunch of those call to-dos and click Start to run through them as a queue.

That gives you a clean Friday dial list using tasks that already exist from flows.

Option 2 – Simple Friday-dials flow (needs admin help)
If your company allows people to be in more than one flow:

  1. Ask your admin/manager to create a very simple call-only flow (“Friday Dials”) that:
    • Has a first step = Call, due right away.
  2. On Fridays, you:
    • Go to People, filter to the prospects you want (by state / segment).
    • Bulk select → Add to flow → Friday Dials to generate those call tasks in one shot.

What you can’t do (yet)

  • There’s no button to “Add call to-do for all selected people” from a list. That’s a known product gap and already logged as a request from other customers.

Thank you for your quick reply! Yep, my first impetus was to create that call flow, but I couldn’t enroll prospects in it, because I couldn’t create a ruleset that would allow for non-exclusive flows.

I’m the solo SDR here and kind of managing myself, so I think I’ll ask our customer success to offer me those privileges, or at minimum to create a non-exclusive ruleset.

Do you know if rulesets can be revised within a flow after it already has enrollees?

Love that plan of asking CS to set you up.

Short answer: yes.

There are two layers here:

  1. Change which ruleset a flow uses

    • If you have permission to edit the flow, you can go to Engage → Flows → [flow] → Settings → Change ruleset and pick a different ruleset, even if the flow already has people in it.
  2. Edit the ruleset itself

    • An admin can go to Engage → Rulesets, edit a ruleset, and those changes instantly apply to all flows using that ruleset, including flows that already have enrollees.

For your use case, asking CS to (a) create a non-exclusive ruleset, and (b) apply it to your call-only flow, will let you enroll prospects into that extra Friday-dials flow even if they’re already in something else.
