Will Gong record future meetings?

Hello All, we have a user that scheduled invites/meetings via Outlook (future dates), we just realized their gong professional and web conference recording weren’t enabled. We just enabled them. Will those future meetings be recorded now? Or do they need to do something to make sure they do get recorded? Couldn’t find a clear answer about this specific issue.

Hi @desiness, thanks for your question!

The future meetings will be recorded now that Gong Professional and web conference recording have been enabled. Gong scans the user's calendar for events that contain their web conference link and then 'auto-joins' their scheduled web conference calls, recording the audio, video, and screen share. Once the integration is set up, Gong automatically captures and records every web conference meeting.

However, note that Gong requires certain permissions to access and record meetings:

• For Office 365 integration, Gong requires read-only access to email, calendar, and personal info for company-wide setup, and additional permissions for user-by-user setup.
• If the user is new to Gong, they'll need to integrate with Office 365 so that calendar meetings and emails are picked up. This can be done either company-wide or user-by-user.
• If the user is not an Office 365 admin, they can send a Gong activation link to their Office 365 admin who can then grant the necessary permissions.
• Once the integration is set up, the user or their team manager can turn on email import under Company Settings > General > Team Members.

Here are some other things you can do to be sure that Gong will record!

• Ensure that at least one meeting attendee is set to record. This way, Gong knows the call should be recorded.
• Schedule the meeting at least 30 minutes in advance. This leaves enough time for Gong to scan and analyze the calendar event in order to schedule the recording.
• Include a valid web conferencing URL in the calendar event so Gong can join the meeting.
• In the web conference provider settings, make sure all participants are allowed to enter meetings via a web browser. If this ability is blocked, Gong won't be able to record the meetings.
• Don’t mark the event to be recorded as ‘Private’ on the calendar. Marking an event ‘Private’ hides the meeting details from Gong, so Gong can’t join the meeting.
• Make sure Gong has access to the meeting room. If a waiting room is used, make sure to allow the Gong bot into the meeting. If the meeting is password protected, make sure Gong has the password.
• Always start the meetings on time. Gong may not record the meeting if it doesn't start at the designated time.

Hopefully this helps!
